Terms & Conditions
Luxury Wedding Cake Commissions
At Gemma’s Cakes, each wedding cake is a bespoke creation, thoughtfully designed and handcrafted to the highest standard. The following terms ensure a seamless and professional experience from initial consultation through to delivery.
1. Booking & Order Confirmation
All wedding cake orders must be confirmed in writing via email or message.
At the time of booking, all design details — including size, style, colour palette, flavours, event date, and venue — will be agreed and documented.
It is the client’s responsibility to review and confirm that all details are correct. Payment of the booking fee confirms acceptance of these details, along with these terms and conditions.
2. Availability & Notice
As each cake is individually designed and handcrafted, availability is limited. Early booking is strongly recommended to secure your wedding date.
A minimum of 2 weeks’ notice is required, although significantly more notice is advised for wedding commissions.
3. Investment & Payment
All pricing is bespoke and reflects the design, size, and level of detail required.
-
A non-refundable booking fee is required to secure your date
-
The remaining balance must be paid in full no later than 4 weeks prior to delivery
Failure to complete payment by the due date may result in cancellation of your order.
4. Design & Artistic Interpretation
Every cake is a unique, handcrafted piece.
Where inspiration images are provided, they serve as a guide only. Your cake will be created as a refined interpretation, not an exact replica.
Colours and finishes will be matched as closely as possible, though slight variations may occur due to the nature of edible materials and lighting conditions.
In rare cases, certain decorative elements may become unavailable. Should this occur, they will be replaced with alternatives of equal or higher quality, maintaining the overall design aesthetic.
5. Portions
Portion guides are provided as an estimate only and depend on how the cake is cut. Exact portion numbers cannot be guaranteed.
6. Ingredients & Allergens
All cakes are made using premium-quality ingredients.
Please note:
-
Some designs may include non-edible supports or decorative elements which must be removed before serving
-
Cakes are produced in a kitchen that handles allergens, including nuts
While every care is taken, Gemma’s Cakes cannot guarantee an allergen-free environment and accepts no liability for allergic reactions.
7. Design Amendments
Minor design adjustments may be accommodated up to 4 weeks prior to your wedding date, subject to feasibility.
Any changes may result in a revision of the final price.
8. Booking Fee
-
All booking fees are non-refundable and non-transferable
-
For short-notice bookings (under 4 weeks), up to 50% payment may be required upfront
Your wedding date is secured only once the booking fee has been received.
9. Delivery & Set-Up
A bespoke delivery and set-up service is available across the UK. Travel charges will apply, calculated based on distance, time, and any on-site setup requirements.
Please note:
-
Any parking or venue access charges will be added to your final balance
-
The venue must provide a stable, level display surface suitable for the cake
Once the cake has been delivered and set up, responsibility passes to the venue/client.
In the unlikely event of severe weather or unforeseen circumstances affecting travel, every effort will be made to deliver as arranged.
Should a cake be damaged in transit due to an accident, a full refund including delivery costs will be issued. Liability is limited to this amount.
10. Cancellations
Due to the bespoke nature of each commission:
-
Booking fees are non-refundable
-
All cancellations must be made in writing
Cancellation terms:
-
More than 4 weeks’ notice: 25% of the total cost payable
-
Less than 4 weeks’ notice: 100% of the total cost payable
Failure to complete payment by the due date will result in automatic cancellation.
11. Storage & Serving
Your cake is prepared to be enjoyed at its best on your wedding day and within 48 hours thereafter.
For best results:
-
Store in a cool, dry environment, away from direct sunlight
-
Do not refrigerate, as this may affect both texture and finish
Gemma’s Cakes cannot be held responsible for cakes stored outside of these guidelines.
12. Complaints & Refunds
In the unlikely event that your cake does not meet expectations, you must notify me within 24 hours of delivery.
Any refund is offered at my discretion and may require the return of the cake for assessment.
Please note:
-
Taste is subjective and cannot be considered grounds for a refund
-
Any refund will be limited to the value of the cake only
13. Photography & Portfolio
I reserve the right to photograph all finished cakes for use within my portfolio, website, and social media.
14. Exceptional Circumstances
In the rare event that I am unable to fulfil your order due to circumstances beyond my control, a full refund will be provided.
